Four Dutchess County Towns Receive $130,452 NYS Grant for Shared Records

Management System

Elected officials from the Towns of Amenia, Beekman, Dover and North East will host a press conference on Tuesday, October 27, 2015 at 2:30 p.m. at the Amenia Town Hall, 4988 Route 22, Amenia, NY to announce the receipt of a $130,452 NYS Archives’ Local Government Records Management Improvement Fund Shared Services grant award. Katie Palmer-House, Dover Town Clerk said, “Our communities share common records management problems that could benefit from a collaborative solution. To date, limited technology and automation have prevented us from meeting the increasing demands and expectations of municipal records management.” Grant funds will support the implementation of a shared electronic records management program utilizing Laserfiche software and the creation of a web-based intermunicipal records public portal. Beekman Town Clerk Rachael Rancourt said, “I am honored to be part of safeguarding and securing Town of Beekman records as well as providing ease of access to these documents to both residents and Town employees.”

North East Town Clerk Lisa Cope, said, “Being awarded this grant will make it easier for the four involved towns to move to the future in managing our vital town records.” In addition to advanced records management software, the partnering communities will receive scanning and server equipment and support to digitize their full collections of Town Board meeting minutes to post on a shared public portal. Amenia Town Clerk Dawn Marie Klingner said, “I am very excited to work with neighboring towns in this wonderful collaborative effort to create an electronic records program that would make searching for information user-friendly for all of our residents.”
